he Sulaimani Forum is a flagship international conference convening senior policymakers, academics, civil society leaders, and international partners to address critical political, economic, and security challenges facing Iraq and the wider Middle East.
The Program Assistant will provide dedicated operational and administrative support to the Forum team, working closely under the supervision of the Senior Manager, External Relations, to ensure the timely and effective implementation of Forum-related activities.
This role is highly practical, deadline-driven, and project-specific, suited for candidates with strong organizational skills and an interest in international events and policy work.
Reporting Line: Senior Manager, External Relations.

 

Key Responsibilities:

Event & Project Support

  • Support the planning and implementation of Sulaimani Forum activities, including conferences, side events, roundtables, and preparatory meetings.
  • Assist with scheduling, calendars, invitations, and follow-ups with speakers, participants, and partners.
  • Support coordination with internal teams (communications, IT, finance, facilities) and external vendors.
     

Logistics & Coordination

  • Assist with travel, accommodation, and transport arrangements for Forum participants.
  • Support venue coordination, registration processes, participant lists, and on-site logistics.
  • Help prepare briefing materials, agendas, participant packs, and logistical notes.
     

Communications Support

  • Assist with drafting professional emails and coordination messages.
  • Support communications and media teams with logistical inputs, speaker confirmations, and schedules.
  • Assist with post-event follow-up, documentation, and evaluations.
     

Administrative & Documentation Support

  • Maintain organized project files, contact databases, and documentation.
  • Support preparation of basic reports, trackers, and internal updates.
  • Assist with procurement documentation, vendor follow-ups, and expense tracking in coordination with finance.
     

Other Duties

  • Perform other project-related tasks as assigned to support successful Forum delivery.
     

Job Qualifications :

  • Bachelor’s degree, International Studies, Social Sciences, or a related field.
  • At least 2 year of experience in administrative, project, or event support.
  • Strong organizational and time-management skills.
  • Ability to handle multiple tasks and work under pressure during peak event periods.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office.
  • Fluency in English, Kurdish and Arabic.

  • Detail-oriented and reliable.
  • Professional and discreet when dealing with high-level participants.
  • Able to work independently while following clear instructions.
  • Comfortable working in a fast-paced, high-pressure event environment.
