Position Type: Full-Time – Short Term
Location required: Sulaymaniyah – AUIS Campus 
Hourly Work: 40 hrs/Week 
Reports To: Executive Director

The Program Assistant will provide essential administrative support to IRIS department. This role involves coordinating day-to-day operations, managing schedules, organizing meetings, and supporting program activities. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

  1. Administrative Support:
    • Assist in the daily administrative operations of the program, including managing calendars, scheduling meetings, and handling correspondence.
  2. Event Coordination:
    • Organize and coordinate program events, workshops, and meetings, including booking venues, arranging logistics, and preparing materials.
    • Serve as the primary point of contact for event participants and vendors.
  3. Communication:
    • Maintain effective communication with program staff, participants, and external partners.
    • Respond to inquiries and provide timely information regarding program activities.
  4. Financial Support:
    • Process invoices, purchase orders, and reimbursements.
  5. General Office Support:
    • Perform other administrative tasks as assigned.

Qualifications:

  1. Education:
    • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  2. Experience:
    • Minimum of 2 years of experience in an administrative support role, preferably in a program or project management setting.
  3. Skills:
    • Excellent organizational and time management skills.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
    • Ability to work independently and as part of a team.
    • Attention to detail and ability to prioritize tasks effectively.
  4. Preferred Qualifications: 
    • Experience working in a non-profit or academic environment.
    • Familiarity with project management tools and software.
    • Multilingual abilities, especially in Arabic..
  5. Working Conditions: 
    • Typical office environment with occasional travel to event sites.
    • Ability to work flexible hours, including weekends.
